The challenge

In 2023, Advance Fitness approached GymMaster to solve a problem that was impacting the growth and scalability potential of their business. Despite being a happy GymMaster customer for many years, Advance Fitness felt that their current payment provider was letting their business down and creating unnecessary administrative work for their staff due to the payment providers’ inability to integrate their payment collection capabilities directly with GymMaster. 

This created an all too familiar situation for many health and fitness club owners – one where gym staff are forced to use multiple, siloed pieces of software that are unable to communicate with one another, creating:

  • additional (and unnecessary) administrative work,
  • an increased risk of human error, double billing, missed payments and other complications
  • friction between members and the gym themselves, resulting in low collection rates
  • poor revenue generation and cash flow problems.

Always searching for the best approach for their members, the team at Advance Fitness decided they needed an easy-to-roll-out solution to this siloed software situation – one that would help Advance Fitness better connect to their community and make working out at Advance Fitness even better.

To close this gap in their workflow and minimise the revenue leakage associated with dealing with numerous siloed platforms Advance Fitness decided to change their payments provider, and reached out to Ezypay.

Given that Ezypay’s payment collection technology integrates directly with GymMaster, automated member payments can now be captured, processed and managed entirely within one platform – saving Advance Fitness’s administrative staff time, money, stress and hassle. This meant Advance Fitness staff could spend far less time chasing members for their payments and dealing with the complexities of a siloed workflow, allowing them to spend more time dealing with the bigger and more interesting challenges involved in business.

A seamless migration and support

Advance Fitness had roughly 3000 members across 6 different sites that needed to migrate Ezypay and were understandably concerned about how this migration may affect them. Ezypay offers migrating merchants a dedicated team to assist in migrating their sensitive customer payment information and debit schedules from their old payments provider to Ezypay - as well as answer any questions that may emerge post-migration.

The Ezypay migration team have performed thousands of different migrations and prides itself on completing these complicated tasks with minimal impact on members, their payments and the migrating gym’s bottom line. As a PCI-DSS-compliant payments company, sensitive customer data is handled with the greatest of care by the Ezypay team who maintain best practices when it comes to encryption and data - greatly minimising the potential risk of a data breach.

While each migration is unique and different, the migration team have migrated customer payment data from every major Australian and international payment provider – such knowledge proved useful in Advance Fitness’s migration.

When Ezypay received data from Advance Fitness’s outgoing payments provider, the Ezypay team noticed a series of strange formatting errors with the data set. Ezypay’s migration team leapt into action, immediately recognising how these errors occurred and moving to fix them to ensure a successful and seamless migration experience for Advance Fitness and its members.
